Accounting/Administrative Assistant

Job Overview

As an Accounting/Administrative Assistant, you will play a crucial role in supporting our daily projects by providing administrative and accounting expertise. You will work closely with our office manager and project teams to ensure the smooth operation of our projects. Remote office work.

 

Your responsibilities will include but are not limited to:

Accounting Skills
Utilize QuickBooks Online to manage financial transactions.
Project Management Software
Utilize project management software such as Contractor Foreman (which integrates with QuickBooks) for scheduling, estimates, invoicing, change orders, daily logs, client portal, and more. 

Payroll
Process payroll for employees accurately and on time, ensuring compliance with relevant regulations.

Invoicing
Create and write invoices for clients, subcontractors, and suppliers, tracking
payments and receivables.
Estimates and Change Orders
Assist in preparing cost estimates for construction projects. Handle change orders
and maintain records of project changes.
Supply Ordering
Monitor construction supplies inventory and order materials as needed to support
ongoing projects.
Social Media Posts

Regularly post photos to Instagram and Facebook showcasing project updates and highlights.


Qualifications

 

  • Proficiency in QuickBooks, project management software, and accounting principles.

  • Previous experience in construction administration and accounting preferred.

  • Strong organizational and multitasking skills.

  • Excellent communication and teamwork abilities.

  • Attention to detail and accuracy.


Skills / Experienced in:

  • Financial Reporting and Auditing

  • Microsoft Applications

  • QuickBooks Online certified or willing to obtain it.

  • Bookkeeping and Accounting

  • Advanced Excel

  • Goal-Oriented

  • Time management

  • E-commerce Accounting

  • Google Docs/Sheets

  • Communication Skills

  • Customer relation

  • Proficient with handling of telephone customer service calls

Pay ranging from P20k to P50K. Remote hours varies using Pacific Time (California,U.S.A). Join our small but powerful team and contribute to the success of our projects by providing essential administrative and accounting support.
